Direct questions

30. What should we do next week before buying an AI receptionist or agency retainer?

Produce a one-page workflow brief and compare three options: improve the current process, configure existing software, or run a restricted supplier pilot. You do not need a broad transformation strategy to make that first decision.

A practical five-day preparation plan

  • Day 1: Pull a representative call or quotation sample and identify the actual problem.
  • Day 2: Ask the incumbent software vendor to demonstrate its relevant native functions.
  • Day 3: Have the office manager document booking rules, exceptions and escalation.
  • Day 4: Obtain comparable prices, data-flow information and exit terms.
  • Day 5: Agree a capped pilot, named owner, baseline and stop rules—or decide not to buy.

Copyable supplier brief

We want to improve [one workflow] for [defined enquiry or job category]. Our current system is [product and plan]. The supplier may [permitted actions] and must not [prohibited actions]. Success will be measured by [completed-job contribution, staff effort and correctness]. Please quote setup, normal and peak usage, supervision requirements, support and exit. Demonstrate unavailable slots, repeat enquiries, failed transfers, system outages and the applicable safety escalation. Explain why our native software cannot adequately meet the requirement.

The purchasing standard is simple: prove a net operational improvement, preserve human control where it matters, and retain a workable way to stop.
