15. How can we automate commercial HVAC quotation follow-up without giving away margin?

Automate queue management, reminders and draft preparation—not unapproved technical changes, discounts or commitments. Start with quotations that an estimator has confirmed remain valid.

Our recommended backlog process is:

  1. Clean the queue: separate accepted, rejected, superseded, expired and genuinely open quotations.
  2. Assign an owner: every live opportunity needs someone accountable for the next action.
  3. Check readiness: confirm the scope, price validity and any outstanding survey information.
  4. Select a permitted follow-up: an internal task, an approved message or a draft for review.
  5. Stop on relevant events: a reply, a complaint, a changed scope, acceptance or a request to stop marketing.

Example draft—not a claim about a real customer:

We are following up quotation [reference] for [site]. Is there any information you need from our estimator to make a decision? If the scope or timing has changed, please let us know so we can review it before confirming arrangements.

Do not let the system invent scarcity, extend price validity or offer a discount to obtain a response.

Where ServiceM8 is your platform, its documented follow-up cancellation and pause conditions provide a useful native starting point to inspect, including handling of customer replies and quote acceptance. (support.servicem8.com)
