24. Will AI replace our office staff, and how do we get the team to use it?

Do not build the investment case around a job disappearing before you have mapped the work that person actually performs. Assign the office team ownership of rules and exceptions rather than making them responsible for fixing an unexplained system.

An employer’s published service-coordinator role illustrates the breadth involved: Barlows lists engineer support, progress chasing, paperwork and customer/site coordination. It is a useful example of work beyond answering the telephone, not a national staffing benchmark. (barlowsuk.co.uk)

Our recommended operating arrangement is:

  • The office manager approves booking and escalation rules.
  • A named person reviews exceptions during each covered period.
  • Staff can pause the workflow without waiting for the agency.
  • Corrections have reasons, so recurring problems can be addressed.
  • Training includes failed calls and system outages, not only successful demonstrations.
  • Finance records time released separately from actual cost reduction.

If recordings or transcripts are used to monitor staff, explain that purpose and review the applicable privacy arrangements. The ICO’s monitoring guidance addresses worker information and the scope of call monitoring. (ico.org.uk)

The adoption question is practical: does the office have less work overall, including supervision and corrections?
