Separate supplier prices, your chosen configuration and internal operating effort. A low subscription price is not the total cost of the workflow.
Which published prices provide useful reference points?
The following are public prices observed during this research. They are not endorsements or directly comparable bundles; confirm availability, taxes, billing terms and included usage before purchase.
| Component | Published reference | Important limitation |
|---|---|---|
| ServiceM8 job-management subscription | UK Starter £25/month; Growing £59/month, with 50 and 150 new jobs respectively | Choose by actual job volume and required features, not the lowest headline price. The vendor says UK prices exclude VAT. (servicem8.com) |
| ServiceM8 Phone Connect Plus | £25/month, including AI Phone Agent and 500 call minutes; 3p/minute overage shown | Additional to the underlying job-management subscription; confirm your intended usage and configuration. (servicem8.com) |
| Retell AI voice platform | Advertised headline of US$0.07–$0.31/minute | The page also itemises models, voices, telephony and add-ons. Do not treat the headline range as an all-configuration ceiling. (retellai.com) |
| Twilio UK local telephony | US$0.0100/minute for incoming local calls plus US$3.50/month for a local number | AI processing, outbound call legs and optional services require separate consideration. (twilio.com) |
| AnswerConnect human answering | Entry plan £205/month for 150 minutes, £49.99 setup and £1.75/additional minute | A human comparator, not an equivalent AI bundle; its page describes whole-minute billing increments. Confirm tax treatment. (answerconnect.co.uk) |
| Workflow automation | Obtain a current account-specific quote | Make documents action-based credits and stopping when credits are exhausted. A workflow run is not necessarily one billable unit. (make.com) |
For example, the listed ServiceM8 Growing subscription plus Phone Connect Plus adds to £84/month before applicable tax and overages. That arithmetic is not a complete project quote: it excludes setup, supervision and any extra requirements. (servicem8.com)
What belongs in the full cost model?
Use:
Setup cost
= external implementation and review
+ internal setup hours × chosen loaded hourly cost
+ migration, testing and training costs
Monthly operating cost
= incremental software subscriptions
+ telephony and AI usage
+ messaging and workflow usage
+ monitoring and support
+ internal review and exception time
+ contingency allowance
Count incremental costs for the investment decision and disclose existing subscriptions separately. Do not add the full price of software you would retain anyway while simultaneously describing it as a new cost caused by AI.
What does an illustrative DIY budget look like?
The figures below are invented planning inputs for arithmetic—not supplier quotations or UK averages. Replace every input with your own evidence.
| Input | Illustrative assumption |
|---|---|
| Internal setup work | 80 hours × £30 = £2,400 |
| External setup/review allowance | £600 |
| Incremental monthly cash expenditure | £120 |
| Monthly supervision | 4 hours × £30 = £120 |
| Total setup, including internal time | £3,000 |
| Monthly operating cost, including internal time | £240 |
| Setup plus 12 operating months | £5,880 |
| Cash expenditure within that total | £2,040 |
The difference is internal time valued for the decision. It is not necessarily additional payroll expenditure. Also, “setup plus 12 operating months” is not the same as the first calendar year if implementation takes several months.
How do you calculate break-even without inventing lost revenue?
Use a capacity-capped model:
Additional completed jobs
= minimum of:
available additional job capacity; and
eligible unique opportunities ×
(pilot completed-job conversion − baseline completed-job conversion)
Monthly net contribution
= additional completed jobs × contribution per job
− incremental monthly operating cost
Keep genuine cash savings separate from staff capacity released. Deduct implementation cost when assessing the full project, and include negative outcomes rather than truncating them away.
Using the illustrative £240 monthly operating cost, £3,000 setup cost and an assumed £90 contribution per additional completed job:
| Scenario assumption | Monthly net after operating cost | Net after setup and 12 operating months |
|---|---|---|
| Two additional completed jobs/month | −£60 | −£3,720 |
| Six additional completed jobs/month | £300 | £600 |
| Twelve additional completed jobs/month | £840 | £7,080 |
These are scenarios, not forecasts. Recurring break-even requires three additional completed jobs per month under these assumptions; recovering setup over 12 operating months requires six. If capacity is unavailable or the jobs would have been recovered anyway, they are not incremental benefit.
