Comparisons

Should quotation follow-up, maintenance reminders and heat-pump qualification use the same approach?

No. Compare the authority, information and human judgement each workflow needs. A successful call-capture pilot does not justify autonomous quotation or technical decisions.

Workflow First approach to compare Useful bounded AI contribution Keep under human or deterministic control Pilot outcome to measure
Commercial HVAC quotation follow-up Native reminders and estimator-owned follow-up tasks Drafting messages, classifying replies and assembling a review queue Price, scope, technical promises, discounts and contractual commitments Additional accepted and completed work; estimator time after review
Maintenance reminders Native scheduling from validated asset and service records Summarising exceptions or drafting approved communications Service dates, contract entitlement, contact preferences and scheduling rules Correct reminders, completed visits and correction workload
Maintenance renewals Contract-owner review with controlled reminder sequences Preparing account summaries and renewal packs Terms, prices, renewal authority and marketing classification Renewals completed on approved terms—not messages sent
Heat-pump enquiry qualification Structured intake and installer-specific software Organising documents and identifying missing information Final suitability, design, technical sizing and promises about eligibility Survey readiness and wasted preparation avoided

The alternative to a general AI agency can be specialist software. Spruce advertises a connected heat-pump workflow spanning enquiry forms, estimates, surveys, design, proposals and handover. That establishes an alternative product category; it does not validate the supplier’s advertised conversion or time-saving claims. (spruce.eco)

What should a commercial quote-follow-up pilot exclude?

Our recommended exclusions are:

  • Quotes whose scope or pricing is already under revision.
  • Accounts with unresolved complaints or disputes.
  • Opportunities assigned to a specific tender or procurement process.
  • Contacts whose communication preferences are unclear.
  • Automatic discounts or technical answers generated without approval.

Start with a clean queue and an accountable estimator. Measure whether the process advances decisions and reduces work, rather than simply increasing contact frequency.

Are service reminders automatically exempt from marketing rules?

No blanket exemption should be assumed. The ICO distinguishes factual service messages from promotional communications and gives a heating-engineer appointment reminder as an example. Adding a home-care-plan promotion changes the classification to direct marketing. (ico.org.uk)

Apply that distinction to the actual message and relationship. A reminder about an agreed appointment is not the same as encouraging a past customer to buy another service. Have the campaign’s legal basis and applicable electronic-marketing requirements checked before launching quote chasing, renewals or reactivation sequences. (ico.org.uk)
